Overview

We are seeking an enthusiastic and driven individual to join our British Primary Section on a fixed term contract to cover 10 month maternity leave. This is a full-time contracted position starting from 6th March 2023 through to the end of December 2023. 

 

Primary Purpose: 

As a Secretary you will be responsible for providing the high quality Personal Assistant service and related administrative, secretarial and business support to the Deputy Head and Assistant Head of Section. Maintaining effective administration, communication and correspondence and assisting the Office Manager to ensure smooth operation of the British Primary Section.

Responsibilities

Personal Assistant

  • Provide administrative and secretarial support to Deputy Head and Assistant Head, including but not limited to manage, coordinate and maintain the calendar, appointments, meetings, travel arrangements and completing expenses.
  • Secretarial support for meetings as and when required by the Line Manager, including drafting and circulating meeting agendas, document minutes and action points, and necessary follow-up.

Finance

  • Keep and monitor expenditure, procurement, logistic and venue arrangements, receipts, and payment records for CPD budget.
  • Liaise with the Financial Department with all payment and refund issues.
  • Liaise with the HR Department with supply/temp monthly payment.

 Administration

  • Covers for all aspects of Secretarial/Assistants Secretarial duties as appropriate.
  • Liaise with TES events and liaise with other departments where necessary.
  • Provide administrative support of organisation and coordination activities and projects (Student trips, Yearbook coordinate, Class photo schedule…etc)
  • Provide administrative support of filing, recording and retrieval of critical documents (Staff absence/leave records, PTA and Class Reps List, Tribe List…etc)
  • Liaise with staff with vendors for purchasing items as requested.
  • Translation

 Communication

  • Produce and organize BPS site content, including writing, images, and graphic design.

Other Responsibilities

  • Assists with hosting conferences, workshops for overseas guests- accommodation, transportation, refreshments, and documentation etc.. 
  • Any other duties, projects and events assigned by the Line Manager.

Qualifications

Knowledge / Education

  • High School Diploma or vocational equivalent and required specialised training or certification

Experience

  • Requires more than three years of related work experience
  • Requires working knowledge of Microsoft Office and Google tools

Skills / Abilities

  • Regular internal and external communication in English and Chinese is required in both spoken and written forms
  • The Secretary must be proficient enough to communicate on a wide range    of topics and to handle problems in English and Chinese with only occasional  assistance from the Line Manager
  • Can handle difficult customer situations with tact and diplomacy
  • Can establish and maintain excellent internal and external relationships
  • Can show ability to perform multiple and diverse tasks
  • Can analyse problems and perform needs assessments independently, using own judgement in adapting broad guidelines to achieve desired results
  • Makes recommendations that affect policies, procedures and practices
