The French Section Office is looking to appoint enthusiastic and motivated Administrative Assistant to join our team.

Location: European Primary Campus / Taiwan
Working hours: 07:30 ~ 16:00
Contract term: Indefinite


Working Relationships and Contacts

  • The post holder is also expected to assist the French Section administration with a variety of administrative tasks;
  ● The post holder is working primarily with French Section Staff, other TES departments’ staff and outside vendors;
  ● The post holder is also expected to collaborate with other with students, parents and Parent’s Association (PSC)


Major Specific Duties


General administrative responsibilities


  ● Performing general administrative duties (photocopies, paperwork, mail, booking taxis and conference facilities...);
  ● Organising and storing paperwork, correspondence documents, computer-based information, maintain presentations, records, spreadsheets and databases;
  ● Using content management systems to maintain and update websites, internal databases, recording expenditure in ERP, as well as invoicing; managing and maintaining budgets
  ● Budget control
  ● Drawing up paperwork for employment agreement requests or amendment, Keeping track of the whereabouts of contracts
  ● Record keeping of staff database including personal information and absences
  ● Planning, assistance and execution of internal events and external promotional events (on evenings or weekend on special occasions, e.g. Christmas concert, end-of-year show, open day)
  ● Translating document into Chinese from English or French;


Purchasing & inventory control

  ● Procure-To-Pay Cycle (including annual orders cycle and daily operation purchases)

  ●Assisting teachers with purchases, budget follow up and refunds
  ● Safekeeping and inventory of equipment and purchases
  ● Inventory control, stock-taking, safety stock


Knowledge / Education


  ● Undergraduate degree in language studies, with minor or major in business or administration
  ● Western pedagogical background would be a significant advantage




  ● At least 1 years’ in related field / position
  ● Accounting, logistic operation or purchasing
  ● Experience of working in a mainstream international school or knowledge in the education field is an advantage.


Skills / Abilities


  ● Advanced level Chinese plus Intermediate level spoken and written English AND French
  ● Must have strong organisational and administrative skills
  ● Team working
  ● Good communication skills
  ● Competence in use of MS Office tools
